Enrolment Agreement

The Little Village

By accepting enrolment, families acknowledge they have read and agree to these Terms and Conditions.

Enrolment at The Little Village is subject to availability, licensing requirements, and compliance
with Service policies and procedures. The following Terms and Conditions support the smooth
operation of the Service and the wellbeing, safety, and consistency of care for all children and
families within our community.

1. Minimum Attendance and Booking Requirements

At The Little Village, we aim to provide children with consistent relationships, stable routines,
and a strong sense of belonging within their group. To support this, a minimum enrolment of
two (2) days per week applies.

All enrolments must include attendance on either a Monday or a Friday to support continuity
of care and consistent group composition.

Where a family requires only one (1) day of care per week, that day must be either Monday
or Friday.

Requests for alternative arrangements may be considered by management and are subject to
availability and operational requirements.

2. Public Holidays

Fees are payable for public holidays that fall on a child’s regular booked day, as the child’s place
is reserved and staffing and operational costs continue.

3. Flexibility and Changes to Attendance

Requests to change days of attendance or enrolment patterns are subject to availability and
must be approved by management. The Service will make reasonable efforts to accommodate
requests where possible.

4. Fees and Payments

Families are responsible for payment of all applicable fees, charges, and gap fees in
accordance with the Service’s Fee Policy and billing schedule.

Fees are charged in advance and remain payable regardless of attendance, including during
periods of absence due to illness, holidays, or other reasons.

5. Child Care Subsidy (CCS)

Families wishing to receive Child Care Subsidy (CCS) must complete all required steps through
Services Australia and confirm their enrolment via myGov.

Families are responsible for ensuring their CCS details remain current. If CCS entitlement is
reduced, cancelled, or not confirmed, full fees will be payable.

6. Required Documentation Prior to Commencement

Children may not commence care until all required enrolment documentation has been
completed and submitted, including medical information, authorisations, and immunisation
records.

7. Absences

Fees remain payable for all booked days, including when a child is absent due to illness,
holidays, or other reasons. CCS absence rules apply where relevant.

8. Compliance with Policies

Enrolment is conditional upon families complying with all Service policies, procedures, and
applicable legislation.

Families are expected to maintain respectful communication and conduct at all times in
accordance with Service expectations.

9. Withdrawal Before Commencement of Care

If a family accepts a placement and then withdraws prior to the agreed commencement date,
a minimum notice period of three (3) weeks is required.

If less than the required notice is provided, the holding deposit/bond will be forfeited and is
non-refundable.

10. Outstanding Fees and Participation in Events

Participation in Service events, including graduation and end-of-year celebrations, is
conditional upon all accounts being up to date.

Where fees remain outstanding, the Service reserves the right to withhold participation in such
events until the account is fully settled.

11. Bond and Refunds

The bond will be applied to any outstanding fees at the end of enrolment.

Any remaining balance will be refunded following final Child Care Subsidy reconciliation,
which may take up to eight (8) weeks from the child’s last day of attendance.

12. Late Payments and Late Collection

Late payment of fees may incur additional charges in accordance with the Service’s Fee Policy.

Children must be collected prior to the Service’s closing time. Late collection will incur a late
fee as outlined in the Fee Policy. Continued late collection may result in a review of the
enrolment.

13. Fee Reviews and Adjustments

The Service reserves the right to review and adjust fees at any time.

Families will be provided with a minimum of fourteen (14) days’ notice of any fee changes.

14. General Conditions of Enrolment

Enrolment is conditional upon acceptance of these Terms and Conditions and ongoing
compliance with Service policies and procedures.

The Service reserves the right to review enrolment where conditions of enrolment are not met.
